The challenge
Groups rarely arrive together
A delegation of twenty people usually means eight different flights, three hotels and a couple of people who change their plans the night before. Booking a separate car for each person creates gaps: someone waits at the airport, someone else arrives at the stand after the doors open.
We work from the full list. You send us the names, flights and hotels, and we group the arrivals that land close together, assign the vehicles and keep track of every flight. If a flight is delayed, the vehicle waits for it, and the rest of the group is not held back.
How we plan it
One schedule for the whole event
Before the event you receive the schedule in writing. During the event there is one contact for changes, available by phone and WhatsApp at any hour.
- Arrival transfers grouped by flight, with meet and greet at the airport.
- Daily morning runs from each hotel to the venue, timed before opening.
- Evening runs back to the hotels and to dinners or receptions.
- A car with driver by the hour for executives who need more flexibility.
- Departure transfers planned around each person’s flight.
Vehicles and capacity
From a saloon to several vans
Each vehicle carries up to 14 people. For larger groups we coordinate several vehicles on the same schedule, so that the whole group leaves together and reaches the venue at the same time. Stand teams travelling with samples, screens or display material get vans with luggage space; tell us the size and number of items when you send the itinerary.
Every vehicle is licensed for passenger transport, every driver is a professional, and every journey is covered by passenger insurance and logged by GPS.
Budget and invoicing
A fixed quote you can approve internally
You receive a written fixed quote for the whole itinerary before anyone travels, with each service listed. It does not change with traffic. The invoice goes to your company with VAT. If several companies share a delegation, tell us when you ask for the quote and we confirm how the invoices will be issued. Extra services requested on the day, such as an additional stop, are agreed with you before they happen.

Request a proposal for your team
Send us the event, the dates, the number of people, the arrival flights and your billing details. We reply with a written fixed quote covering every transfer, so you can approve it internally before anyone travels. Nothing is stored on this website: the template opens in your own email or WhatsApp.

Frequently asked questions
What is the largest group you can move?
Each vehicle carries up to 14 people, and for larger groups we coordinate several vehicles on the same schedule. Send us the group size and dates and we confirm availability in the quote.
Can you handle arrivals on many different flights?
Yes. Send us all the flight numbers. We group arrivals that land close together and track every flight, with 60 minutes of free waiting from the actual landing time at the airport.
Several companies share our delegation. How is it invoiced?
Tell us which services belong to each company when you ask for the quote, and we confirm in writing how the VAT invoices will be issued.
What if someone changes their flight?
Tell us as soon as you know. Changes made 24 hours or more in advance are free; closer to the pickup we adapt the plan subject to availability.
Do you carry stand material?
Yes, within the space of the vehicle. Tell us the size and number of items so we send vans with enough room.
How do we confirm the quote?
You approve the written quote by email. The payment method for company proposals is stated in the quote.
Are child seats available for family members travelling with the delegation?
Yes, on request and for a supplement. Children count as passengers.
